Merchant accounts are not always that easy to come by. Though there are a wide variety of options available to all sorts of businesses today, the task of looking at and selecting the right merchant service provider for a specific business could turn out to be an arduous one. As such, it is important for a business to be able to maintain its merchant account once it has found the perfect fit to its needs.
It may be hard to believe but there have been so many instances of merchant accounts being suspended or cancelled merely because the business owner or manager has not paid enough attention to his merchant account. Another scenario would be a business owner finding himself with humongous bills also because he had not paid the right amount of attention to his merchant account. This is entirely possible because of changing times which include increasing fees and additional charges. If one is not paying close attention, he just might find himself in a financial mess. Either way, the scenario is not a pleasant one.
The second scenario described in the preceding section is what is termed merchant account degradation. Merchant account degradation occurs when merchant service providers increase their rates without proper notification or justification. Merchant account degradation can also occur when credit card associations come up with and implement new rules and regulations that would affect your merchant account without the proper notification. The observable result of merchant account degradation is the increased costs on the business’s part. Obviously, no business owner would want his merchant account to degrade in this manner. The only way to prevent this would be to engage in some practices that would always keep you in the loop with regard to your merchant account. This way, you can take action whenever you notice something amiss.
I should qualify that and say “monthly” instead – or whenever you get your statements. This is perhaps the most important and easiest way to make sure that your merchant account is competitive and in proper order. Do not make the mistake of merely leaving things to chance, thinking that nothing should be wrong anyway.
In relation to your merchant account statement, make sure you look for the “Important Notices Section.” This is where your merchant service provider should place any changes in fees or rules. Banks and merchant service providers are required to notify their clients of any changes at least 30 days before the changes are to take effect. As such, make sure you look at this section each time you receive your statement. Knowing what changes are to take place before they actually do can help you decide on what action to take.
It can be a bit tricky in the beginning but you’ll get the hang of it with experience and persistence. At the outset, you know that there are different types of discount rates applied by merchant service providers. The usual ones are qualified, mid-qualified, and non-qualified. Not all credit card transactions are the same and there are various factors determining the discount rate that will apply. When going through your statement, make sure that you get the lowest rate for your transactions.
Merchant accounts have a monthly limit as to the volume of your sales. Make sure that you know this limit. More than that, you should be able to keep track of your monthly processing volume and know when you have reached your limit. Of course, you can always go beyond this limit yet the implications may not be worth it. For one, you would be charged significantly for this.
So what should you do if you see that you are in danger of exceeding the limit? Get in touch with your merchant service provider immediately and ask if you could adjust the limit. Normally, if your account is at least 3 months in good standing, this would not be a problem.
Picking up from the last point above, it is vital that you keep the communication channels open between you and your merchant service provider. Remember that you are the customer in this case. With the intense competition in the finance industry, your custom is important to them. As such, communicating your needs to your merchant service provider can only bring your advantages.
